Booking Terms & Conditions

The terms and conditions below are the “default terms and conditions” adopted by Chauffeur VIP unless we provide you with other terms and conditions in writing prior to your hire date. We reserve the right to alter and update these terms and conditions and promise to notify anyone booked prior to any changes.

Whole Agreement

These Terms and Conditions override and supersede all previous versions and any previous course of dealing between the parties and incorporate the whole Agreement together with any insurance conditions notified to you at the time of hire or collection. In the event of any inconsistency between these Terms and Conditions and any other of our literature, whether found on our Facebook or on our website or otherwise, the provisions of these Terms and Conditions will prevail. If any provision of these Terms and Conditions is prohibited by law or judged by a court to be unlawful, void or unenforceable, the provision shall, to the extent required, be severed from this Agreement and rendered ineffective as far as possible without modifying the remaining provisions of this Agreement, and shall not in any way affect any other circumstances of or the validity or enforcement of these Terms and Conditions.

Contract

The hire of a vehicle is subject to a contract between the person/persons who books the motorhome, signs the handover form and Terms and conditions upon collection and or ticks the terms and conditions box upon booking on the website, and the owner of the motorhome (Chauffeur VIP).

This agreement incorporates these terms and conditions and the information and conditions contained within them. You agree to comply fully and strictly with them. The rights and obligations contained in these terms and conditions govern the use of our motorhome and are not transferable by you.

You accept that any attempt to transfer or sublet the motorhome is a criminal offence and will immediately result in the end of your hire with total loss of any monies including damage deposit.

We permit you use of the motorhome on the terms of this agreement

Except where otherwise stated the following words have the following meanings in this agreement.

“The Van” – This means the Motorhome hired under this agreement and as specified to you by us and Including all tyre, tools, accessories and equipment in included with or on the van.

“You” – The person or persons signing this agreement. The permitted Driver or Drivers.

“We or Us” – (Chauffeur VIP) owners and management of the hire company.

“The Agreement” – “The Rental Agreement and Terms and conditions” – This agreement and any document expressly referred to in this agreement including any insurance document and motor rental agreement.

Very Important Please Read

1 Whilst we will do our best to help and guide you through our booking process it is ultimately the hirers responsibility to ensure that DVLA Check codes and Utility Bills/ Required proof of residency is in our possession and correct at least 4 weeks before commencement of hire. Remember failure to produce these on time may result in cancellation of hire and loss of any monies paid to date. Without these in place no hire will be allowed.

2 If the Hirer fails to disclose any damage, breakage, vehicle system or mechanical failure that may affect adversely the following booking until their return, then they the current hirer may be fined an unspecified amount to compensate the next booking of the motorhome, if that failure limits our ability to resolve the damage, breakage or vehicle system or mechanical failure issue that may adversely affect them.

3 Failure to pay the full balance 6 weeks in advance of hire may result at our discretion, in the cancellation of your booking with loss of all hire monies previously paid.

4 If you do accidentally cause damage or loss of any equipment during hire then repairs and replacements can be expensive. We suggest you look at taking out Damage Deposit Waiver insurance to cover any such occurrence.

5 Please note that it is essential you have your own holiday insurance to cover any personal losses bikes, belongings, valuables, tech, monies etc including any unforseen cancellations (eg site fees) or mishaps.
We have Business RAC breakdown cover but your insurance should also cover any loss of any type as result of irrepairable breakdown or accident of vehicle whilst in your possession. resulting in early end of your hire – https://www.rac.co.uk/breakdown-cover/caravanandmotorhome

6 Pay Load – This is for insurance compliance purposes. You must abide by all legal weight limits. This is the total weight of everything you bring or add to the van including persons, clothes, food, drink, equipment etc must not exceed 425 Kilos or 66.9 stones. So please pack light!!

Payments ( Hire Costs and or Damage/Security Deposit )

As the Customer, you pay all money directly to the owner of the motorhome – Via Bank transfer to Motorhome VIP Ltd no payment through website.

If you wish, as a last resort, to pay by debit or credit card we will add a fee the equivalent to that charged to us for this facility by the card company we use. At present it is 2.5%

Reservation

A booking deposit must be paid at the time of booking. This is then deducted from the total Hire cost. This deposit is non-refundable in the event of cancellation. We may require a larger deposit for bookings over one week’s duration.

£300 for the first week or part of a week.

£300 per full or part week thereafter . We will be paid the first £300 deposit through the website. Any larger required deposit will be paid by bank transfer.

A confirmation of the booking will be emailed to you.

The full balance is due 6 weeks prior to commencement of hire along with appropriate DVLA checks and Utility Bills (see insurance section).

If the total cost of hire is under £300 then the deposit will be deemed this amount

Please note that any false representation of any documentation will result in cancellation of your booking even at short notice and loss of all monies already paid (this excludes the damage deposit).

Dos and Don’ts

You agree that you shall not:

  • use the van to carry passengers or goods for hire or reward,
  • tow or push any vehicle, trailer or other object,
  • drive off road, on unsurfaced roads or on roads unsuitable for the vehicle,
  • drive when it is overloaded or when loads are not properly secured,
  • use the van for any illegal purpose, or carry any object or any substance which is illegal.
  • cause by cooking any smell that may linger in the van and/or delay our ability to rent the van again without deep cleaning. See Your Liabilities para 2
  • damage the van by immersion in water or contact with salt water,
  • take part in any race, rally, test or other contest, drive or park in contravention of any traffic or other regulations,
  • drive or allow to the van to be driven in restricted areas including, but not limited to, airport runways, airport service roads, and associated areas,
  • undertake driving training activity or put the van through a rotary car wash.
  • pay attention and adhere to the height and width restrictions. We have set the satnav to these measurements so please run with it on at all times.
 

Security/ Damage Deposit

Please note we recommend you take out an insurance to cover the damage deposit risk. There is a link on our bookings section to connect you to a comparison website used widely in this industry. Costs vary but it is around £10 per night to reduce your risk to as low as £350.

The owner will ask the customer for a bond or damage deposit, of £1000 or that equal to the excess required by the insurance company. This is payable at the latest on the day of collection and only by bank transfer.

This is refundable if hire is cancelled. The refundable amount will be the security bond minus any charges or damages that may occur during the period of hire. We advise payment of the damage deposit before you arrive to collect as we cannot be responsible for any failure or delay in connectivity that may prohibit speedy access to telephone banking resulting in a delay to your onward journey. We will advise you of the bank details to proceed with this.

We will not let the van go out until all the monies have cleared into our bank account. If the funds have not cleared we will not be liable for any fees for late check in to sites, missed ferries or any other costs associated with a late departure.

Any damage and or penalties and fines that add up to above £1000 will be invoiced to yourselves.

This damage/security deposit will be paid by bank transfer only and before collection and is used to cover the possibility of damage (whether negligent, wilful, accidental or otherwise) or loss to the van or the fixtures and fittings therein or the living equipment and windows, wheels, tyres etc included with the van. The van and all its equipment must be returned in good condition, with no damage to it, its contents or any third-party property.

Your damage/security deposit will normally be refunded within 2 days of the end of the rental period. This delay allows us time to thoroughly check the van and contents or any damage not reported to us or identified at the time of return.

The security deposit is refundable upon safe return of the van, in the condition in which it left our depot subject to an inspection completed by and satisfactory to us. Should there be any damage or requirement for any repair, replacement or special cleaning, the costs will deducted from the security deposit before the balance is returned to you. You irrevocably authorise us to deduct from the Security Deposit any amounts due to us arising out of this Agreement. In the event that there is a claim we reserve the right to retain the security deposit for as long as is a reasonable period necessary to quantify the charges incurred which are to be deducted from the deposit. You should be aware that the security deposit will be used towards funding any loss or damage whatsoever to the van or its equipment, fixtures and fittings as well as payment for the insurance excess. You also agree that your damage deposit may be used to compensate the follow on hirer if they are adversely affected by any failure on your part to notify us of any issues as written in our terms and conditions.

Where the security deposit is insufficient to cover the costs, you agree to pay any additional amounts due. These will be invoiced as appropriate to you for payment. Where charges are incurred which result in your security deposit being debited we will provide you detail of the charges incurred by you. You agree to pay all additional charges within two weeks of us sending you a detailed invoice.

We will only fit approved genuine parts if any are required supplied and fitted by approved dealerships or properly vetted garages of our choosing.

Insurance

We provide Fully Comprehensive insurance through (TBC)

Self-Drive Hire Terms: What we must obtain from each driver, prior to the hire.

1. Copy of the photo card drivers’ licence (Address & ID must be up to date) 

2. Online licence check – https://www.gov.uk/check-driving-information please note we will generally collect this detail directly from our on correctly filled in online booking form.

3. Two forms of proof of address (Must meet all mentioned criteria below)

4. Cleared a traceable security deposit (not cash) – amount £1000

5. Signed rental agreement

Additional criteria:

1. Must be between 23 and 75 years old and have at least 2 years driving experience
and hold a Full UK or EU Licence

2. Have no more than two 3 point convictions (i.e. 2x Sp30’s, 3pts each).

3. No more than one fault or outstanding accident/claim/incident In the last 3 years

4. Not had their license suspended for any period in the last 3 years

5. Has no BA, DD or UT convictions

The following documentation is acceptable for proof of address alongside the drivers
licence:

You must provide the following:

  • 1 utility bill / statement (primary form of proof)
  • 1 of the documents listed below (secondary proof)
 

Key document criteria:

  • Both must be dated within 90 days of the hire date
  • The address & name on your licence must match both documents
 

What is acceptable?

  • Utilities are as follows: Electricity, Water, Gas, Broadband, Council tax or Landline
 

1 of the following alongside a utility:

  • TV/internet/landline telephone bill (Including Sky/Virgin/BT etc)
  • Bank or Credit Statement
  • Credit card bill / statement
  • Mortgage statement
  • Mobile Phone Bills. 
 

What is declined?

  • Any document relating to insurance.
  • Any document that does not meet the above mentioned criteria – please contact us if you are
    unsure.
 

You will have read and understood the conditions for hire and will have signed to agree to them.

The van can be driven on a standard manual UK car license (Category B)

Insurance is Fully Comprehensive.

We have RAC Commercial Breakdown cover/insurance

There may be (rarely) additional charges depending on the driver’s details and intended destination. Eg- EU destinations Please Ask.

We require to do a DVLA check of your license. To this end you must supply a DVLA check code to us. We ask for the required details on our on line booking form so we are generally able to sort out DVLA checks for you. This requirement is due by the time of final balance due date. if you do not supply such a valid code and we are unable to verify your license status you lose you funds paid to date. Note upon arrival the physical condition of the license must be good enough for us to recognise you, photograph the licence and be clear, legible and undamaged.

If we are unable to verify ourselves and you do not supply this check by final payment we reserve the right to cancel your booking and keep any funds paid.

You need to provide two proofs of Address. Non compliance will result in a cancelled booking and a loss of all monies already paid.

Windscreen cover is not included so replacement will be paid for from the damage deposit.

Tyre damage and replacement tyres are to be paid for from the damage deposit. Tyres are checked at the initial pick up and hand back.

Use of the vehicle for festivals/ Sporting events must be pre agreement with the Motorhome owners (Chauffeur VIP).

Europe: For those traveling into the EU or Switzerland, there is an additional daily charge. Please ask.

The excess is £1500.

It is the customer’s responsibility and we advise you to provide your own holiday insurance to cover personal items, belongings, late cancellation, personal injury to you anyone in your group or any third party in the event of any incident not of our making and not covered by our policy.

Dash cam must be used at all times whilst driving and footage must not be deleted. Failure to comply with this will result in a discretionary fine of up to £300.

Tyres

You agree that the tyres on the Van are visibly sound and appear within legal limits. Any damage or repair to tyres is your responsibility, unless it can be shown that damage is due to invisible defects in the manufacture of the tyre which are covered by a manufacturer’s warranty, in which case we may reimburse you. For any reimbursement you must: a) Return the defective tyre to us for inspection and return; b) Produce appropriate receipts; and c) Accept the decision of the manufacturer as to whether reimbursement is made. You will be responsible for any costs incurred through damage to tyres by punctures or bursts, and any possible damage to the wheel as a result of this. You will be liable for a suitable replacement tyre and we will not cover any costs for any of your loss incurred by tyre damage.

Usage

Our vehicles may not be used in stop-start situations, such as support vehicles for any type of charity run, walk, bike ride. It cannot be used for taxing or for the transportation of goods or the storage of prohibited or illegal items or goods

Safety and care

If there is damage or breakdown caused by your own actions, you will be liable for the cost of repair/replacement. This could be such things as pushing the engine too hard, or putting petrol in a diesel engine, putting fuel into the fresh water tank. This list is not exhaustive. You must take all reasonable and practicable steps to properly and safely maintain the van including regular checks on; batteries, engine oil and other gauges, bulbs and tyre pressures and condition when driven more than 500 miles, refilling or replacing as necessary Please. retain receipts for reimbursement up to £50 If you cause damage to the engine through driving too fast (over 70 mph) over too long a period of time, and ignoring the warning lights, you will be liable for any transport costs, repairs required or even the cost of a replacement engine.

Our Obligations

We will supply the van to you in good overall and operating condition, complete with all necessary documents, parts and accessories. You agree to return the van to us in the same condition as you rented it, subject to fair wear and tear, with the same documents, parts and accessories, at the location and on the date and time designated in this Rental Agreement or sooner upon demand by us. Failure to do so may result in further charges becoming due and payable by you. We are not liable to cover the cost of alternative accommodation, or a replacement vehicle, if the van is rendered uninhabitable during the trip due to any reason other than clear negligence on our behalf. We will not be responsible for providing an alternative if the vehicle must be taken in for repairs, if the damage, (whether through accident, negligence or reckless use) is due to customer action. This includes, but is not limited to, any damage to tyres or windscreen, and any other circumstance where the van is not in working condition, unless explicitly proven to be our fault

Seat Belts, Booster and Child Seats

You must carry only as many passengers as there are seat belts in the van. You are legally responsible for obtaining and using an appropriate child seat if required. You must use a booster seat or child seat as appropriate. For further information visit www.thinkroadsafety.gov.uk/campaigns/childcarseats.

Our vehicle Is NOT Isofix Compatible.

Pet Policy

Where “pet policy applies” We are willing to accept small well behaved pets, on the basis that guests are reminded that they would be responsible for any damage done by the pet, and the owner reserves the right to charge an extra £50 cleaning fee if there is a lot of hair left in the van on its return. This is at the Owners discretion. No pets to be encouraged to sit on the beds or seats, and the provided seat covers must be used if you are bringing a pet.

Your Liabilities

Fines Penalties Congestion Charges

The customer shall settle all fines and penalties incurred during the term of hire. If penalty notices arrive at our home address, these will be forwarded to you as soon as they are received in order for you not to incur late payment fees. If however there is a delay in receiving a penalty notice, then the fines will be sent to you at our earliest possible convenience- you may therefore be liable for any late charges.

If the vehicle is handed back in an unclean state then we, the owners are entitled to take it to a professional company to be cleaned or charge for our time . You, the Hirer, will be invoiced for this cost. Professional cleaning may also be required if the van smells, this could be from smells released whilst cooking, such as fish and chips, curries or this could be from wet dogs, mud or anything else.

The outside of the vehicle must be returned clean to allow for inspection of damage. Where this is not possible we will make an initial inspection upon handback and make a more thorough inspection upon cleaning. If at that stage we find damage we will photo and film and inform you. We will write on the handover sheet if we have not been able to inspect the outside properly due to its lack of cleanliness. The van will be cleaned promptly after drop off so any issues with the van will be visible and highlighted and recorded. Avoid any contact with trees branches or bushes as they damage the van and leave tree scuffs on the paintwork that may require professional correction.

Any excess costs will be deducted from the damage deposit upon return. This may include cleaning charges, penalties for not emptying the cassette, water tanks or waste water, pet hair or smells or damages to the van.

Height/ Overhead Damage Third Party Liability

You are liable for any losses or damage caused by you and/or your group and we cannot accept liability for any losses or damage or liability caused by you to yourselves or third parties, or their property.

You are liable for any damage above cab height – you are fully responsible for damage caused by failure to assess the height of the van and striking overhead or overhanging objects. You will indemnify us against any liability, caused by damage to overhead or overhanging objects natural or otherwise and subsequent damage to third parties and their property. You will also be responsible for any damage to third parties and their property that arises through your negligence.

You must use the van and its contents responsibly and comply with our instructions and Health and Safety Guidelines. Where no instructions or advice or guidelines are given you must assume that ‘normal’ and ‘common sense’ rules apply.

Toilet/Cassette

The customer is responsible for emptying and cleaning the toilet cassette and prior to returning the vehicle. Failure to do so will incur a charge of £75

Drinking Water

We cannot be held responsible for the cleanliness of drinking water obtained from various campsites and you are advised to check this with the site owners on arrival. The van fresh water is not drinking water unless boiled. Travel with an empty fresh water tank and fill upon site. We do advise that you drink bottled water. Please ensure the waste water tank is empty upon return. We will impose a £25 fine if it is not.

Smoking

We operate a NO SMOKING policy in all vehicles. This also includes the smoking of illegal substances whether inside or outside the van during the period of hire. We also have a zero tolerance policy on drugs and these must not be used during the hire period.

Wild camping

Wild camping is overnight is not permissible. We expect you to book onto sites with facilities such as electric hook up and access to mains water. We will not allow you to park up overnight at the side of the road. We expect your site to have at least some basic facilities including electric hook up. We will require a reassurance from you prior to hire that you have no plans to wild camp.

Wild camping will result in a minimum fine of £250

Propane Gas

We will provide more than enough propane gas for the hire period. We will not refund additional gas purchased if you have for instance used sites with no electric hook up or wild camped against our T’ and C’s. This would result in you using more than a reasonable amount of propane in say cold weather where heating powered by the gas supply was required. We assume you are on sites with electric hook up and so the excessive use of gas is unnecessary. Any use of such a site without electric hookup will be deemed wild camping.

Tracker

The van has a tracker fitted for insurance and security purposes and we are able to see where you are and if you wild camp without permission.

Prohibited use of the Van

You are authorised to drive the van on the conditions of this Agreement including, at all times, to use the van in a responsible manner. If you do not comply with these conditions, you will be liable to us for any liability or loss incurred by us or any damages or reasonable expenses we suffer or incur as a result of your breach of the Agreement. You may additionally lose the benefit of any waivers or insurance selected by you. We reserve the right to take back the van at any time, and at your expense, if you are in breach of this Agreement. You must look after the vehicle, make sure it is locked, secure and parked in a safe place when not in use or occupied. You must remove and keep in a safe place the Dash Cam and Sat Nav when the van is unoccupied. You must use seat belts, child seats and other child restraints as appropriate and required by law. You must use the steering wheel lock provided when van is left unattended.

Loss or Damage

You will be liable to us for all losses and costs incurred by us in the event of loss, damage to or theft of the vehicle, its parts or accessories, while on rental, if this damage, loss or theft involves the deception of or by you or another party, or as a result of the keys remaining in the van whilst it is unoccupied, or was caused intentionally or negligently by you or your party. Your liability may include the cost of repairs, loss in value of the vehicle, loss of rental income, towing and storage charges and an administration charge, which recovers our costs for handling any claim arising from damage caused to the van unless responsibility for the damage lies with us or has been determined by a third party or their insurers to lie with the third party. You will not be liable to us for any charge or excess if the loss or damage is directly due to our negligence or our breach of this Rental Agreement. You will be liable for the loss or damage to any in- car entertainment/extra tech equipment – cover for these items (i.e. Radio, dash cam, Television or Sat Nav) is not provided by our insurers.

Breakdown/Accidents/Incidents/Fire

You will be given verbal instructions when you collect the van. It is imperative that you and your party are familiar with these instructions. We will usually be available 24/7 on our contact numbers for assistance.

Every effort is made by the motorhome owner to ensure the vehicle is in a safe and roadworthy condition prior to each and every hire.

The motorhome owner shall be under no liability for any third-party claims or damages in connection with or in consequence of, any accident or breakdown.

If involved in an accident make sure you, your party and van are safe from any other incident. Exchange details from any third party. Take photographs of the incident, location, damage and anything relevant. Do not admit any liability. Call the police if necessary and wait for their attendance. Inform the owner. Call for RAC assistance if necessary.

Our vehicles have RAC breakdown insurance. In the event of a breakdown, contact (Primary) +44 8000149222 or (Secondary) +447309410636. (Breakdown company TBC)

You will then be asked to contact the RAC with the vehicle registration number. Assistance will then begin. We have RAC breakdown cover through our Insurer (TBC). Approval must be obtained from the motorhome owner in respect of repairs and replacements.

Tyre and alloy damage including punctures, and damage to the windscreen and windows are the customer’s responsibility. You must not drive the vehicle with a flat tyre.

Any call out charges whilst on hire ; for example, flat batteries, wrong fuel, lost keys etc will be the customer’s responsibility.

Any damage to the Gazebo / Awning caused by misuse (using in even a moderate wind, unsecured by guy ropes, storms or being in use overnight). Please note that most insurance claims on motorhomes arise from damage incurred to either the Gazebo / awning or wing mirrors.

Events beyond the operators control

Unfortunately events beyond our control may occasionally affect bookings. When reference is made to such events, this means any events or circumstances which the motorhome operator could not, even with all due care, foresee or avoid. When an event beyond our control occurs we cannot accept any responsibility or pay any compensation, costs or expenses where the performance of your agreement with us is prevented or affected or you otherwise suffer any loss or damage as a result. This includes any delays to and/or restrictions to your hire. During hot weather fridges and freezers in motorhomes do not always perform as expected which is beyond our control. We will not accept any responsibility for any loss of food or beverages and no compensation will be issued.)

Fuel/Gas/Oil

A full tank of fuel will be provided with the vehicle at the start of hire and the customer is expected to return the vehicle with a full tank of fuel. There are several fuelling stations within 1 mile of our base address for you to fuel up on your return.

Fuel fill up service will be £25 plus the cost of the fuel.

It is the customer’s responsibility to ensure that oil and water levels & tyres are good and warning lights are acted upon checked upon.

If you are required to replenish the Propane please ensure you only buy Calor Propane and exchange bottles on a like for like basis to avoid a fee equivalent to that incurred by us reinstating the correct bottle size.

Mileage

Mileage allowance varies and is indicated on our website or communicated clearly by us and written on the handover form. Once agreed between parties any Extra milage is charged at 40p per mile. 

Peak season June-august there is unlimited UK mileage for a full week up to 1100 miles per week. Bookings for shorter hire periods will be subject to 100 miles per night booked.

Customer Co-operation

The customer agrees not to part with the possession or control of the vehicle hired and not to allow any person other than the agreed drivers to drive the vehicle.

The customer also agrees not to carry more passengers than the belted seating capacity (4 persons belted capacity) of the vehicle, and not to use the vehicle for carrying passengers or goods for hire.

The customer agrees to timely communication – slow responses or no responses to emails and calls may lead to a cancellation. We will always make every effort to contact you before this would be the case but note it is not our responsibility to continually chase you up for the required information/documentation etc.

Please note that due to increased fire risk fire pits are not permitted to be used or stored in or around the motorhome.

Pick Up / Drop Off

The collection is from 10am and drop off is no later than 1pm unless agreed otherwise in advance and by email. This affords you ample time to enjoy your first night without worrying about a late arrival time at your first site. Respect the van at all times, and please try to avoid long, uninterrupted journeys, taking regular breaks each hour or two if necessary to remain safe to drive.

The van is fitted with a tracker and we will penalise you £100 if you drive more than 300 miles on the return day.

When you arrive to collect your van, please ensure you allow at least an hour for us to walk you around the van, give a talk through the cab, how to operate the cooker, sink, fridge, water storage and other accessories and to brief you on our health and safety guidelines. We will also need to complete the paperwork in that time. You will also need time to load your luggage and transfer damage deposit. If you appear to be likely over the payload we may insist upon the van, contents and all persons travelling being weighed at the nearest available weighbridge. If no weighbridge is available we can insist you leave some items out of the van. Legal weight compliance is your responsibility.

Any personal vehicles left at the upon collection of the hire vehicle are done so at your own risk and we accept no responsibility for loss or damage to the vehicle or its contents at any point during the period of hire, regardless of whether we are in possession of the keys or not.

The motorhome is to be returned at the agreed time or earlier, otherwise, there is a risk of driving without insurance, and of inconvenience to the next user of the motorhome.
If you encounter unavoidable delays, you MUST contact us, the motorhome owner to ensure that insurance cover is maintained.

A £100 per charge for the first hour will be made for vehicles returning after the agreed and thereafter £100 per half hour or part.

To facilitate an easier handover we will provide you with videos on how to work the control panels and some essential motorhome tasks. You must watch these.

We will not refund the hire charge if the van is returned prior to the agreed return date due to weather, personal circumstances or any other reason whatsoever

Intentional lateness affecting the next user will result in an unspecified fine to be decided by us, Insert Co Name), up to and including the full cost of the damage deposit.

Cancellation and Refund of Funds Policy

More than 6 weeks before the hire: Loss of deposit unless we can re hire the vehicle for the same time period as booked.

6 weeks before up until the start of the hire – 100% loss of all payments excluding damage deposit.

We reserve the right to decline a booking made within 48 hours. A full refund of your deposit will be paid.

Health and Safety at Campsites

When you arrive at each Campsite, ensure you familiarise yourself, and all members of your party, with the health and safety arrangements applicable on the site.

Health and Safety Guidelines

Below is an outline of our Health and Safety Guidelines. You will be given more detail about health and safety when you collect the van.

We are in the process of producing a hand book which will reside in the van, also providing details of health and safety guidelines for driving the vans, and using the van facilities, etc.

We suggest you read this handbook after you have received your handover briefing, collected the van and before you set off to your destination as, in addition to the health and safety considerations, it will provide useful information about your van and its facilities.

Use of Appliances and Equipment

You will have been told how to use these when you collected the van. When the handbook is created for use ensure you read the instructions for the use of the appliances and facilities in the campervan before using any of them. The instructions are to be found in this handbook. Please exercise caution at all times when using the appliances and facilities.

Gas bottles whilst travelling

Whilst each gas bottle has a safety shut off feature built in we ask you to turn off the gas while travelling. These are in the gas locker and require a simple clockwise turn. As soon as you get to your site turn it back on anti clockwise and press the green button. If you are supplied with two bottles please use the oldest bottle in use first. Note if you are required to change gas bottles the connector turns anti clockwise to connect (opposite to what is the norm).

Depot

When you arrive at our premises to collect your van, please keep your children supervised at all times. Preferably not in the van whilst handing over the van either at the start or end of hire.

General Safety

Please take all precautions to protect your own health and safety and that of anyone else in the van, including the health and safety of persons not in your party that may be affected by your conduct and actions. Do not leave your children unattended in the van at any time. Ensure a responsible adult is in the vehicle at all times when the appliances are being used. Ensure you are aware of the location of safety equipment such as the fire blanket and fire extinguisher (behind drivers or passengers seat), warning triangle (in the rear garage), first aid kit (head height locker in lounge area), smoke and carbon monoxide alarms on the ceiling (head height near habitation entrance door).

Seat Belts

You must carry only as many passengers as there are seat belts in the van and ensure all passengers are strapped into the seatbelts when the vehicle is moving. You are legally responsible for obtaining and using an appropriate child or baby seat based on the information you obtained prior to arrival.

Use of the Cadac BBQ

Use the BBQ provided sensibly and carefully. You are provided with a 3 metre hose to afford you safe distance from the motorhome for cooking. This connects directly to the motorhome bottled gas supply. Be mindful of the van and awning for heat and smoke damage. Please ensure you are allowed to use a BBQ on someone’s land, be it a campsite or a farm. Do not clean the BBQ in the van basin or washing up bowl and decarbonise after every use with the provided tool. Fat deposits are easily wiped off using kitchen paper.

Grey/Waste Water

Waste or”grey” water should be disposed of in provided drains if on site.

Finally

We ask that you exercise caution at all times in the use of the motorhome and its equipment, following instructions (given verbally or as shown on website videos. Please do not hesitate to contact us if you are unsure about how to operate anything. We cannot be held responsible for any customer negligence where instructions have not been followed, or where unauthorised equipment has been used.

Data Protection Policy

Personal Data When you book your motorhome, we collect personal information such as your name, email address, home address, telephone number. We will also ask for copy of personal bills for residency proof. This allows us to arrange motorhome and insurance for you. We reveal your identity information to our insurance company. We will not sell your information to another company and promise to handle it carefully.
